A Summertime Playbook for Protecting Your K-12 Device Investment

For K-12 technology teams, summer break is not downtime. It is the most important maintenance window of the year.

This is when student devices come back, damage becomes visible, repair queues can be organized, and the next school year’s rollout can be prepared before classrooms are full again. For districts managing Chromebooks, iPads, MacBooks, chargers, headphones, carts, cases, and loaner devices, a strong summer plan can prevent many back-to-school problems before they happen.

The goal is not only to store devices safely. The goal is to protect the district’s full technology investment: hardware, accessories, repair budgets, classroom continuity, and IT staff time.

Below is a practical summer playbook for K-12 schools preparing student devices for the next academic year.

1. Start With a Real Inventory, Not Just a Device Count

A simple device count is not enough. Schools need to know which devices are ready, which need repair, and which should be replaced.

Chromebooks remain one of the most common student device categories in education. Google states that Chromebooks are the number one device used in K-12 education globally, according to Futuresource. Google also says many schools extend device life through repair programs, and more than 80% of U.S. schools in a Google survey were repairing at least some Chromebooks in-house.

A useful summer intake process should divide devices into four groups:


Ready for redeploymentDevices that power on, charge correctly, have no major physical damage, and can be cleaned, updated, and reassigned.


Repair neededDevices with cracked screens, broken hinges, damaged charging ports, missing keys, weak batteries, camera issues, microphone problems, or case damage.


Retire or replaceDevices that are too old, too costly to repair, no longer supported, or no longer compatible with classroom and testing needs.


Reorder accessoriesDevices that are usable but missing chargers, cases, straps, keyboards, headphones, styluses, or asset labels.


This step helps prevent a common August problem: discovering too late that the district has enough devices on paper, but not enough classroom-ready devices in practice.


2. Protect Battery Health Before Summer Storage

Battery failure is one of the easiest summer problems to avoid.

For Chromebooks, Google recommends that schools should not let batteries fully discharge over the summer and should not leave Chromebooks plugged into carts or chargers for months. Google’s long-term Chromebook storage guidance recommends charging devices to around 80%, unplugging them, using battery disconnect mode where available, storing them in a cool and dry area, and not stacking more than seven Chromebooks on top of each other because excess weight can damage screens.


For Apple devices, Apple recommends storing devices long-term at around 50% charge, powering them down, and keeping them in a cool, moisture-free environment under 90°F. Apple also warns that storing a device fully discharged can cause a deep discharge state, while storing it fully charged for a long period can reduce battery capacity.


A simple summer battery checklist:

  • Charge Chromebooks to around 80% before storage.

  • Store Apple devices around 50% charge.

  • Do not leave devices charging all summer.

  • Store devices in a cool, dry space.

  • Avoid excessive stacking pressure.

  • Power devices back on and test charging before school starts.


This is a small process change, but it can prevent a large number of “dead device” tickets when students return.

3. Use Repair Data to Find Protection Gaps

Summer repairs should not be treated as isolated incidents. They should be used as data.

If many devices of the same model have cracked corners, broken hinges, damaged charging ports, or pressure marks on screens, that may point to a pattern. The issue may not only be student handling. It may be the wrong case, weak corner coverage, poor backpack protection, cart pressure, or an accessory that does not fit the device correctly.

Schools should track repeated damage by:

  • device model

  • grade level

  • building

  • type of damage

  • repair cost

  • whether the device had a case

  • whether the case was damaged, loose, or missing

The best question is not only:

“How many devices broke?”

The better question is:

“Why did they break, and can we prevent the same damage next year?”

This turns summer repair work into a smarter purchasing and protection strategy.


4. Check the Protection, Not Just the Device

A device can still turn on even if its protection system has failed.

During summer intake, schools should inspect protective cases, sleeves, screen protectors, keyboard covers, shoulder straps, hand straps, handles, kickstands, and asset tag windows.

Look for:

  • cracked case corners

  • loose shells

  • missing screws

  • broken clips

  • torn straps

  • worn handles

  • damaged kickstands

  • peeling screen protectors

  • cases that no longer fit tightly

  • blocked ports or ventilation

The key question should be:

“Is this device protected well enough for another school year?”


If the case is loose, cracked, or no longer aligned with the device model, the device is more likely to suffer damage after redeployment.

5. Review Device Lifecycle and Compatibility Before Buying More


Summer is also the right time to review whether current devices still fit the district’s learning environment.

For ChromeOS devices, Google states that ChromeOS devices receive 10 years of updates from the platform release date. Google also notes that updates are tested with platform components such as processors and Wi-Fi hardware, and that after a device receives its final automatic update, existing and future policies may not work as intended and technical support will not be provided.

That matters for school buyers because a device may still physically work but no longer be ideal for testing, security, management, or long-term deployment.

Before ordering more devices or accessories, schools should confirm:

  • exact device model numbers

  • ChromeOS AUE / support timeline

  • macOS or iPadOS compatibility

  • testing platform requirements

  • Google Admin Console or MDM setup

  • Wi-Fi requirements

  • charger type

  • headphone connector type

  • case fit and port alignment

  • repair part availability

  • cart and storage compatibility

Small model differences can create large rollout problems. A case that “almost fits” is not good enough for a district deployment. Port placement, hinge design, camera location, device thickness, and ventilation all matter.


6. Update Software and Security Settings Before the First Week of School

The first week of school is not the right time to discover update issues.

Google recommends that schools get Chromebooks ready about a week before classes resume by connecting them to power, powering them on, connecting them to Wi-Fi, and updating them to the latest ChromeOS release. Google notes that this can take time because multiple ChromeOS versions may have been released while devices were stored.

Summer is also a good time to review cybersecurity basics. K-12 schools continue to face cybersecurity pressure, and Axios reported that a CISA K-12 cybersecurity report found reported school cyber incidents rose from about 400 in 2018 to more than 1,300 in 2021.

Before rollout, IT teams should test:

  • OS updates

  • Wi-Fi connection

  • student login

  • Google Admin or MDM policies

  • web filtering

  • testing apps

  • camera and microphone

  • audio output

  • lost-device tracking

  • account assignment

  • loaner device reset process

This helps reduce help desk pressure during the first days of school.


7. Do Not Forget Chargers, Carts, and Headphones

A device program can fail because of small missing pieces.

Even if every Chromebook, iPad, or MacBook is ready, students may still face problems if chargers are missing, carts are damaged, headphones do not work, or cables are the wrong type.

Summer accessory checks should include:

  • chargers

  • USB-C cables

  • charging carts

  • headphones and headsets

  • screen protectors

  • keyboard cases

  • styluses

  • straps and handles

  • asset labels

  • spare parts

  • loaner devices

Headphones are especially important for testing and classroom use. Schools should confirm whether they need 3.5mm, USB-A, USB-C, or a mixed headphone inventory before the school year begins.


8. Build a Back-to-School Rollout Plan

A good summer plan should end with a clear rollout process.

Schools should decide how devices will be distributed, who will handle missing accessories, how damaged devices will be reported, and how loaners will be issued.

A simple rollout plan should answer:

  • Which grades receive devices first?

  • Are devices assigned by student, classroom, cart, or building?

  • Who checks chargers and accessories?

  • Who installs cases and labels?

  • How are damaged devices reported?

  • How many loaners are available?

  • How are new students handled?

  • What is the process for lost or missing devices?

The more clearly this is planned in summer, the fewer emergency tickets IT teams face in August and September.


Summer device planning is not only an IT task. It protects classroom time, repair budgets, student access, teacher workflow, and the district’s overall technology investment.
